Pet care app not syncing? Check before adding duplicates
A missing pet or record can mean the wrong account, an unlinked clinic or a failed update. Check the source before duplicating entries or deleting a profile.

Your partner sees the feeding entry. You don’t. Or the pet profile disappears after a clinic change, while the old appointment email is still sitting in your inbox.
When a pet care app isn’t syncing, first check the account, pet and source of the missing information. Compare what the other caregiver or clinic can actually see. Preserve the existing file and contact support before creating duplicate profiles, deleting records or repeating a care task.
Is the information missing, or are you looking at a different account?
Check the signed-in email and the selected pet or household on each device. Two people using the same app do not necessarily have access to the same record, and two profiles with similar names can hide a simple mismatch.
Compare the pet’s identifying details and the date range or filter in the view. Ask the other person to open the actual entry rather than confirm that they remember adding it. Note who can see it and where.
Don’t send passwords to compare accounts. Each caregiver should use the app’s supported invitation or sharing route. If an invitation is still pending, ask the provider how to resolve that state before making a second account to work around it.
Who supplies the record you expected to see?
Identify whether the information comes from your household, your clinic or a document you uploaded. That tells you whom to ask next. An owner’s care log and a clinic’s medical file can coexist without automatically updating each other.
PetDesk’s missing-pet support guidance says its clinic-supplied profiles depend on the email in the clinic’s record matching the app account. It also says the provider must use PetDesk for that information to sync. Those are PetDesk’s documented conditions, not instructions for every pet app.
The same support page describes help with duplicate accounts and accidentally deleted pets. That gives you a reason to contact the provider before rebuilding a profile; it doesn’t identify the cause.
If you recently changed clinics, ask which practice holds the original file and what the new practice received. Our switching-vets records guide covers that handover; app access alone doesn’t prove the clinic transfer was completed.
What can you check without risking the existing file?
Check access and compare views before making changes. Keep a short note of what worked so support can distinguish a device problem from an account or source problem.
| Check | What to note | What the result helps distinguish |
|---|---|---|
| Account and pet | Email, household and selected profile | Wrong view versus the expected file |
| Other caregiver’s view | Exact entry visible or absent | Shared-access issue versus a missing entry |
| Connection and app version | Connection used and version shown | Details support can check |
| Source provider | Clinic, household or uploaded document | Who can confirm the original information |
| Recent change | New phone, clinic, invitation or account change | The point where access changed |
Follow the app’s own update and refresh instructions. Avoid a chain of changes that erases the evidence: new account, new profile, reinstall, then another invitation. If the first check reveals the wrong account, resolve that before testing unrelated fixes.

What if the missing entry concerns care due now?
Confirm what actually happened with the caregiver before repeating it. A missing screen entry is not evidence that a meal, walk or medication was missed.
For medication, do not use a syncing problem to infer another dose is needed. If the household cannot verify administration, contact the veterinarian for instructions. Our two-person medication handoff guide addresses the medication handoff; it doesn’t replace that clinical decision.
Keep a single dated note until the issue is resolved. Include who confirmed the event and keep the note distinct from an entry whose saving status you still don’t know. Once access returns, check the note against the app’s record and resolve any conflicts.
What should you send to support, and what should you keep?
Send a concise account of the problem with the app version, device, approximate time and the specific record or profile involved. Describe what each caregiver sees and what changed just before the problem began.
Screenshots can help, but remove unrelated personal information and use the provider’s official support route. State what you already tried. Ask whether the original information still exists, whether accounts need merging and what action will preserve it.
Keep copies of important documents independently of a particular view in an app. The medical records request guide explains how to obtain the clinic file itself. Your pet health records plan should identify that source, so changing a phone or account doesn’t leave you unable to say who holds the original.
Before retiring the old phone, test that you can recover a separate copy of the records. That tests recovery even when everyday syncing appears to work.
Where Dana fits
Dana’s health records and shared care logs let invited caregivers see information entered in Dana. Dana does not automatically import another app’s history or every clinic’s medical file. If a Dana entry is missing, confirm the caregiver’s action and use Dana’s support route before duplicating it.
Questions people ask
Why is my pet missing from a care app?
Possible explanations include the wrong signed-in account, a different household or clinic link, a deleted profile or information the provider has not supplied. Check the app's own support guidance before creating a replacement profile.
Does a missing entry mean a care task was not done?
No. It means you have not verified the entry in that view. Contact the caregiver and confirm what happened before repeating care, particularly when medication is involved.
Should I reinstall the app to recover missing records?
Start with account, pet and source checks. Before reinstalling or clearing storage, check the provider's guidance and whether unsaved local information could be lost. Reinstallation cannot create a clinic record that was never linked.
